Privacy Policy Wrocław Advisory Hub

1. Who looks after your data?

The administrator of your data is the company Wrocław Advisory Hub with its registered office at 18 Świdnicka St in Wrocław. Marek Woźniak is personally responsible for information protection issues. If you have questions about how we store your name or phone number, write directly to biuro@wroclawhub.pl. We operate transparently and without unnecessary procedures. We treat your data as we would want our own to be treated – with respect and only when necessary to work on your office.

Wrocław Advisory Hub is not a big corporation, so we do not trade in databases. Your information is safe with us because we care about the trust of local entrepreneurs. Every square meter of your privacy is as important to us as the square footage of your office that we help optimize.

2. What information do we collect and why?

We collect only the data you provide yourself. This usually happens in two situations. First, when you fill out the contact form on our website. Then we ask for your name, email address, and optionally a phone number. We need them to call you back with an audit quote or to arrange a site measurement. Without this data, we could not help you in negotiations with the building manager.

Second, we collect data when you write to us directly via email. Then we keep your message to have a history of arrangements regarding your lease agreement. This helps us work more efficiently and not ask the same questions twice. We do not collect sensitive data; we are not interested in your private affairs. We focus exclusively on what concerns commercial real estate in Wrocław and your operating costs.

3. Cookies and technology

Our site uses so-called cookies. These are small text files saved in your browser. Thanks to them, the site works faster, and our rental profitability calculator correctly calculates your yield. We also use them to know which articles on the blog – e.g., those about contract errors – are most useful to you. We do not use cookies to track you on other sites or to display intrusive ads.

  • Technical cookies: Necessary for the site to display at all.
  • Analytical cookies: Show us how many people from Wrocław visited us yesterday.
  • Functional cookies: Remember your choices in forms so you don't have to enter everything again.

You can disable cookies at any time in your browser settings. Just remember that then some functions, like quick office cost calculation, may stop working perfectly.

4. Server logs

When you browse our site, the server automatically saves certain technical information. This concerns your IP address, date and time of visit, and the type of browser you use. This is standard procedure worldwide. These data are anonymous and serve us only to ensure the site is safe and does not fall victim to hacker attacks. We do not link these logs with specific people who write to us.

Logs are stored for a short time and are accessible only to technical staff overseeing the correct functioning of the Wrocław Advisory Hub website. Straight to the point: it is pure technology, not spying.

5. To whom do we transfer data?

Your data stays with us. We do not sell it to marketing companies or data warehouses. We transfer it only to trusted partners without whom our site and office could not operate. These are:

  • Hosting company: Stores our website and email on secure servers.
  • Analytical tool provider: Helps us understand site traffic (e.g., Google Analytics, but with IP anonymization).
  • Accounting office: If you become our client and we issue you an invoice for an audit, your data will go to tax settlements.

All our subcontractors must comply with GDPR rules. We sign appropriate agreements with them so you can be sure your information is treated professionally even outside our office on Świdnicka St.

6. How long do we keep your data?

We do not hoard data indefinitely. If you wrote to us with a question and ultimately didn't decide on cooperation, we delete your data 12 months after the last contact. However, if we sign an agreement for consulting or relocation management, we must keep your data for the duration of the contract and for the period required by tax regulations (usually 5 years from the end of the year the invoice was issued).

In the case of signing up for blog post notifications, we store your data until you unsubscribe yourself. You can do this with one click at any time.

7. Your rights

You rule your data. According to the law, you have a range of options, and we promise to implement them without unnecessary delay. You can ask for:

  • Access to your data: We will send you a file with what we have on you.
  • Correcting errors: If you changed your phone number or email, let us know – we will update it in 24 hours.
  • Deleting data: If we no longer have a legal basis to keep it (e.g., we finished the assignment), we will delete everything at your request.
  • Restriction of processing: We can stop actively using data but not delete it (e.g., while clarifying a dispute).

If you think we are doing something wrong, you also have the right to file a complaint with the President of the Personal Data Protection Office. But before you do that, write to Marek – we will surely be able to work it out humanly.

8. Data security

We take the protection of what you entrust to us seriously. Our site has an SSL certificate, which means the connection between your computer and our server is encrypted. Your passwords and form data do not fly loosely across the web. Access to computers in the Wrocław Advisory Hub office is protected by passwords, and phones are secured with biometrics. We regularly check if our systems are up to date and if no unauthorized person is trying to access them.

9. Policy changes

The real estate market and law change. We may also occasionally improve this document. If we introduce important changes, we will inform you on the home page. We act honestly and without fluff, so every change will aim to better protect your privacy or adapt to new regulations.

The last update of this policy took place in February 2025. We encourage you to check back here from time to time, especially if you plan to commission another office space audit.
